How we collect, use and protect the information you share with the Mama’s Soul Food app and website.
The Mama’s Soul Food mobile application is owned and operated by Mama’s Soul Food, who are the controller of all stored data. PepperHQ Ltd operate as a processor of data for the Mama’s Soul Food App.
This policy, together with our Mobile App Terms of Use, explains how we may use information we collect about you, as well as your rights over any personal information we hold. Please read both carefully.

This information is collected, stored and processed under Article 6(1)(b) of the GDPR — i.e. we need this data for you to be able to use the App for its primary purposes.
Collecting personal information (name, email address, date of birth) helps us better understand what you need from us. We use your information to:
Your personal information is safe with us and will never be released to third party companies for marketing purposes.
The App captures your geographic location when you attempt to “check in” to one of our restaurants, so we can identify which location you’re in or near and provide an enhanced experience (such as digital loyalty cards). We only capture this with your consent, and you can disable it at any time in your device settings.
The App captures basic usage metrics so we can identify problems and make improvements. These metrics also help us understand how people use the App and its different functions.
Your contact details may be used to send direct marketing messages, but only with your explicit consent — which can be withdrawn at any time from the My Account options within the App. Refusing marketing consent has no effect on the rest of the App’s functionality.
Your data is stored in an encrypted database and transferred over secure network connections. We will store your information for as long as your account exists in the Mama’s Soul Food App.
If your user account is entirely inactive for a period of 12 months or more, we will delete it automatically. If you ask us to — or if you delete your account yourself — we will delete the information linked to your account which can identify you personally, including your profile photo and personal details.
You may ask us, at any time, to confirm that your data is being processed and to provide access to your personal data. We generally respond within 7–21 working days.
We will never disclose your information to anyone outside of Mama’s Soul Food except:

To obtain a copy of the information we hold about you, email us at hello@mamassoulfood.co.uk. Please confirm any details that will help us identify and locate your information. If any details are incorrect, let us know and we will amend them.
You can request deletion of your Mama’s Soul Food App account and its associated personal data at any time. To do so, email hello@mamassoulfood.co.uk from the address linked to your account, with the subject line “Delete my account”. We will action your request within 30 days and confirm by email when complete.
Deleted: name, email address, phone number, profile photo, saved delivery addresses, stored payment tokens, marketing preferences and login credentials.
Retained: a record of completed orders and transactions is kept for up to 6 years to comply with HMRC and UK accounting law; anonymised analytics that no longer identify you may be retained indefinitely.
Request deletionThis policy replaces all previous versions and is correct as of May 2025. We reserve the right to change the policy at any time — material changes will be communicated through the App.
